A company-protective AI governance policy that lets VarenyaZ use AI productively while preserving human accountability, client confidentiality, and risk-based review.

Scope

How this AI Policy applies

This AI Policy explains how VarenyaZ may use artificial intelligence in internal workflows, client delivery, software development, design exploration, content operations, automation, research, testing, support, and product prototypes.

AI obligations are not the same for every company or every system. Requirements depend on geography, risk classification, customer contracts, sector rules, data type, model role, deployment context, and whether VarenyaZ is acting as a provider, deployer, processor, contractor, or advisor.

Principles

Responsible AI principles

VarenyaZ uses AI to improve speed, quality, analysis, automation, and delivery capability while keeping human accountability for important business, editorial, technical, and client-facing decisions.

  • Use AI for assistance, acceleration, exploration, summarization, testing, drafting, pattern analysis, and productivity.
  • Keep humans responsible for final decisions, publication, client recommendations, production deployment, and high-impact outputs.
  • Avoid using AI to fabricate facts, sources, testimonials, case studies, legal conclusions, security claims, or performance guarantees.
  • Review AI outputs for accuracy, privacy, security, intellectual property, accessibility, bias, hallucination, and business risk.
  • Document higher-risk AI workflows with purpose, owner, data categories, model/vendor, human review, limitations, and fallback path.

Data

Client data and confidential information

VarenyaZ does not treat every AI tool as appropriate for every dataset. Confidential, regulated, customer-restricted, sensitive, or production client data should be used with AI tools only when there is an approved business purpose, appropriate safeguards, and no contract or policy conflict.

Clients must tell VarenyaZ in writing before work begins if their data, industry, procurement policy, customer contract, security program, or law restricts AI-assisted processing. If restrictions are not disclosed, VarenyaZ may rely on the project context and ordinary service-delivery assumptions.

Delivery

AI-assisted service delivery

AI may support code drafting, refactoring, accessibility checks, test generation, content outlines, research organization, design exploration, estimation, translation support, data review, documentation, and workflow automation.

AI assistance does not replace professional judgment. VarenyaZ may review, adapt, test, reject, or rewrite AI-assisted outputs. Final delivery quality depends on scope, budget, data quality, timeline, integrations, review cycles, client input, and third-party systems.

Useful acceleration

AI can reduce repetitive work and help teams explore options faster, but production work still requires engineering, design, content, privacy, security, and business review.

No blind reliance

AI output can be incomplete, outdated, biased, insecure, inaccurate, or unsuitable for a particular use. Validation remains necessary.

Customer role

Client and user responsibilities

Clients remain responsible for their business decisions, legal approvals, regulated use cases, customer disclosures, production acceptance, domain-specific validation, and confirming that AI-enabled workflows are appropriate for their organization.

Where AI is deployed into a client product, internal workflow, website, admin system, or customer-facing tool, the client must approve intended use, user notices, data inputs, escalation paths, human review, monitoring, and any required accessibility or compliance controls.

Restrictions

Uses we may refuse

VarenyaZ may refuse or stop AI work that creates unacceptable legal, safety, privacy, security, accessibility, discrimination, deception, exploitation, sanctions, reputational, or platform-policy risk.

  • Systems intended to deceive users about material facts or impersonate people without authorization.
  • Automated decisions in employment, credit, housing, education, healthcare, law enforcement, or similarly sensitive contexts without proper legal and human review.
  • Mass surveillance, unlawful scraping, credential theft, malware, evasion, phishing, or abusive automation.
  • Generation of fake reviews, fake testimonials, fake evidence, fake authors, fake citations, or misleading public claims.
  • Use of confidential, personal, or regulated data in tools that are not approved for that data.

Vendors

Third-party AI tools and models

AI workflows may involve third-party models, APIs, platforms, plugins, search tools, hosting providers, vector databases, analytics systems, and evaluation tools. These services can change pricing, behavior, availability, policy, security posture, model performance, and terms.

VarenyaZ is not responsible for third-party model outages, hallucinations, policy changes, model regressions, API limits, moderation decisions, training practices, or vendor-side security issues outside VarenyaZ control.

Transparency

Disclosures and notices

AI disclosures should be proportionate to context. We may disclose AI use when required by law, contract, platform policy, client instruction, editorial standards, or when a reasonable user should know they are interacting with AI-generated or AI-assisted content.

Some AI uses are internal productivity tools and may not require public disclosure. Some user-facing, generated, synthetic, or automated interactions may require clearer notice, labels, logs, or human escalation.

Readiness

EU, UK, U.S., and India readiness

The EU AI Act uses a risk-based structure and can create transparency or high-risk-system obligations depending on the use case. Other jurisdictions, contracts, and sectors may impose additional AI, privacy, security, consumer-protection, accessibility, or procurement duties.

VarenyaZ maintains this policy as a governance baseline. It is not a certification that every AI system is regulated, unregulated, compliant, or suitable for every market. High-impact AI systems require project-specific review.

Limitations

No AI guarantees

To the maximum extent permitted by law, VarenyaZ does not guarantee that AI-assisted outputs are accurate, complete, current, unbiased, secure, non-infringing, compliant, explainable, suitable for regulated decisions, or free from hallucinations.

AI features, prototypes, recommendations, and automations should be tested before reliance. Clients should use human review and professional advice where AI output affects legal, financial, employment, health, safety, security, accessibility, or other high-impact decisions.

Governance

Records, review, and improvement

For higher-risk AI work, VarenyaZ may keep practical records of purpose, owner, data inputs, model/vendor, testing, known limitations, human review, fallback paths, and change history.

This policy may change as AI law, model behavior, security practice, accessibility expectations, customer requirements, and VarenyaZ services evolve.
